Sharing sites and roles

Who can see and change what: Can edit and Can view, all sites or selected sites, the owner, and sites another account shares with you.

Updated

Everyone has one account of their own. It holds your sites, alerts, team and billing. You can let other people into your account, and other people can share their sites with you.

Can edit and Can view

Everyone in an account other than its owners has one of two levels.

Can edit changes sites, checks and incidents. They can:

  • edit a site’s settings, pause and resume it, and use Run now
  • add, change and remove checks
  • mute incidents and mark them resolved
  • add people to a site, change their level on it and invite someone to it

With all sites, someone who can edit also adds and deletes sites, manages alerts and channels, invites and removes people on Account › Team, changes the account’s name and time zone, and sees the activity log.

Can view sees sites, checks and incidents and changes nothing. With all sites, they can also read the list of people on Account › Team.

Either level can turn on Email me about this site for the sites they see.

All sites or selected sites

The level applies to one of two sets of sites:

  • All sites: every site in the account, including ones added later.
  • Selected sites: only the sites picked for them. They don’t see the team, alerts or billing, and they can’t add or delete sites.

You choose the level and the sites when you invite someone. To change them later, open Change access on the person’s row in Account › Team. For someone with selected sites, a site’s Settings › People changes their level on that site only, or takes the site away from them.

Owners

An account can have several owners. Owners can do everything Can edit does, and also:

  • change the plan, set the billing email and open the billing portal
  • make someone else an owner, or turn an owner back into Can edit

To make someone an owner, open Account › Team, use the menu on their row and choose Make owner. They must be in the account already, with a verified email address. People with Can edit can’t change or remove owners.

The primary owner

One owner is the primary owner, at first the person who created the account. The Team list marks them Primary. Only the primary owner can:

  • hand the primary owner role to someone else
  • delete the account

Nobody can change the primary owner’s access or remove them. To hand the role over, use Transfer ownership under Account › Details. The new primary owner must already be in the account with all sites, and must not be the primary owner of an account of their own: each person can be primary owner of only one. You stay an owner.

Other owners can leave the account at any time. The primary owner can’t; they transfer the role first.

Billing email

Invoices and receipts go to the primary owner’s email unless an owner sets a Billing email under Account › Billing, such as your accounts team’s address. Leave it empty to go back to the primary owner’s.

Sites shared with you

When someone adds you to their account or to one of their sites, those sites show up in your site picker and your All sites lists next to your own. If your sites come from more than one account, each row says which account shared it.

A shared site’s Settings has a Shared with you section that names the account and has a button to leave. The site uses that account’s plan, never yours, and that account sets up its alerts. You can still get your own emails about it with Email me about this site.

If you pick a shared site in the site picker and you’re on that account’s team, the Account pages show that account.

Who sees alerts, team and billing

Pages someone can’t use are left out of their sidebar.

  • Owner: Alerts, Team, Billing, Details and the activity log.
  • Can edit, all sites: everything but Billing.
  • Can view, all sites: the Team list, read only.
  • Selected sites: none of the Account pages.

How many people

Your plan limits how many people the account holds. The count includes you and any pending invitations that haven’t expired, and people with selected sites count too.

  • Free: 1 member
  • Pro: 5 members
  • Business: Unlimited members

Free has room for you alone, so you can’t invite anyone or share a site until you upgrade.

See Plans and limits for everything else each plan includes.
